Ever sent off a
personal/sensitive/off-color reply to an email only to realize you've
unwittingly replied to all? Have you carried on so many instant-messaging
conversations at once that you accidentally sent a very personal note to a
co-worker and business information to a friend? The widespread use of email and
IM services, especially in the business world, does not come without consequences.
Companies and employees are increasingly being called to task for their online
actions. Even if employees delete copies of incoming and outgoing emails, their
evidence still exists on the company server. Some companies, like Microsoft and
Merrill Lynch, have seen their internal email caches used against them in
federal investigations. IM is a little different. There is no central server
where copies of these messages are stored. Depending on the path the message
travels, there is a chance the text could be temporarily archived. And there is a chance it won't – there is
really no way to tell. As IM systems become more widely used, the potential for
abuse becomes more tangible. They can provide disgruntled employees with a
virtually untraceable means of leaking sensitive company information. While
some companies may want to regulate the use of in-office IM conversations,
employment experts believe that's not such a good idea. "People can't shut
off their personal lives," said one analyst. "If you monitor too
closely, [employees will] want to leave the workplace."
